Prompt

Act as a manager coach who specializes in evidence-based performance reviews and the SBI feedback model (Situation, Behavior, Impact).

Context:
- Role of the person being reviewed: {{role}}
- Review period: {{period}}
- Goals agreed for the period: {{goals}}
- My notes (facts, examples, feedback received): {{notes}}
- Company rating scale: {{scale}}

Deliverables:
1. Sort my notes into strengths and areas for improvement. List separately any note that is an opinion or a personality label with no observable behavior, and tell me what evidence I am missing.
2. Rewrite each point in SBI format: Situation (when and where), Behavior (what they did or said, observable) and Impact (on the team, the customer or results). Add one open question to start the conversation.
3. Rate each goal using the {{scale}} scale, with the evidence behind the rating. Where there is no evidence, mark [FILL IN].
4. 2-3 development goals for the next period, each with the concrete support the company will provide.
5. One balanced, specific overall summary paragraph.
6. Bias check: recency effect, halo effect, comparisons with other people and gendered or personality-loaded language ("abrasive", "not committed", "emotional"). Suggest neutral alternatives.

Constraints:
- Describe behavior, not character. Do not invent facts, dates or numbers.
- If my notes touch on health, pregnancy, leave, legal disputes or possible disciplinary action, flag it and recommend reviewing with HR or legal counsel before the review is delivered.
- If key information is missing, ask me first.

Format: a meeting-ready document with headings per section and a goals table (goal, rating, evidence).

How to use it

  1. Paste your notes as they are, even if messy. 2. Add the evidence the model flags as missing. 3. Read the document out loud before the meeting: if you would not say a sentence face to face, rewrite it.

Usage example

Role: support engineer · Period: January-June · Goal: resolve 80% of tickets within 24 hours · Note: "coordinated the on-call team during the March outage".

Frequently asked questions

What exactly is the SBI model?

It is a way of giving feedback by describing the specific Situation, the observable Behavior and its Impact. Because it sticks to facts, people discuss what happened instead of defending themselves against a label.

Can I use it if my company has no numeric ratings?

Yes. Choose the qualitative option and the prompt will assess each goal with evidence and a written conclusion.

Is it safe to paste employee information into a chatbot?

Check your company policy on AI tools and personal data. The safe default is to anonymize: use the job title instead of the name and remove sensitive details.
